Privacy Policy

This Privacy Policy describes how the FYE Passport app ("we," "us," or "our"), built by Keyunti Richard, MPA, collects, uses, and protects your information when you use the FYE Passport mobile application developed for Southwestern College.

Information We Collect

When you create an account and use FYE Passport, we may collect the following information:

Your full name and institutional email address
Profile photo (optional, if you choose to upload one)
Class year and academic program (optional)
Task completion records and stamp activity
Badge and rank progress
Streak and engagement data
Event attendance and check-in records

How We Use Your Information

We use the information we collect to:

Create and manage your student account
Track your passport progress, stamps, badges, and streaks
Display leaderboard rankings and engagement stats
Surface relevant campus events and FYE class sessions
Send notifications about tasks, events, and milestones (if enabled)
Provide Southwestern College Student Success staff with aggregate and individual engagement data to support retention efforts
Improve and maintain the app

How We Share Your Information

We do not sell your personal information to third parties. Your information is shared only in the following ways:

With Southwestern College staff: Student Success advisors and authorized administrators can view individual engagement data to provide proactive support and outreach.
Aggregate reporting: De-identified, aggregated data may be shared with college leadership to measure the program's impact on first-year retention.
With service providers: We use Supabase for secure data storage. Your data is stored securely and is not used for any purpose outside of powering the app.

Student Data & FERPA

FYE Passport is designed to complement, not replace, Southwestern College's official student information systems. Engagement data collected in this app is used solely for student success purposes and is treated in a manner consistent with the Family Educational Rights and Privacy Act (FERPA). If you have questions about your rights under FERPA, please contact Southwestern College's Registrar.

Your Privacy Controls

You have control over your data within the app:

Update or remove your profile photo at any time
Enable or disable push notifications from the app settings
Request deletion of your account and associated data by contacting us at the email below

Data Retention

We retain your data for the duration of your enrollment at Southwestern College and for up to one academic year following your last active session. Upon account deletion request, your personal information is removed from our systems within 30 days.

Data Security

All data is encrypted in transit using HTTPS. Passwords are never stored in plain text. We use Supabase's Row-Level Security to ensure that each student can only access their own data. Industry-standard practices are applied throughout.

Children's Privacy

FYE Passport is intended for use by college students aged 17 and older. We do not knowingly collect personal information from individuals under the age of 13. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated through the app or via your institutional email. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
